Highlyfe Diesel Services ("we", "us") runs highlyfediesel.com and the back-office app our technicians use. This policy explains what information we collect and how we use it.
What we collect
- Account details you give us: name, email, phone, company.
- Service requests you send without an account: name, phone, email, vehicle or equipment details, the problem you describe and any photos you attach. We use them only to answer and schedule your request.
- Vehicle and service details: year, make, model, VIN, mileage, ECU information, files you upload (such as ECU read files), photos taken during service, and notes about the work.
- Orders and invoices: what you bought or what work we did, amounts, and payment status.
- Payment information is entered on Stripe's secure checkout page. We never see or store your full card number.
How we use it
- To do the work you request, build your tune files, schedule fleet service, and contact you about it.
- To send quotes, invoices and receipts by email.
- To keep service records for your vehicles.
- To keep our books: invoices and payments may be recorded in our accounting software (QuickBooks Online).
Who we share it with
We don't sell your information. We share it only with the services we use to run the business: Supabase (secure database and file storage), Cloudflare (website hosting), Stripe (payments), Resend (email delivery), and Intuit QuickBooks Online (accounting). Each only gets what it needs to do its job.
When you type a VIN on our site, we look it up with the free VIN decoder run by the U.S. National Highway Traffic Safety Administration (NHTSA) to identify your truck's year, make, model and engine. Only the VIN is sent. We don't send your name or contact details.
How we protect it
- Encrypted connections. Every page and every transfer of information between your device and us uses HTTPS (TLS) encryption.
- Encrypted storage. Your information is stored with our database and file-storage provider, which encrypts data at rest.
- Need-to-know access. Access rules are enforced by the database itself. Customers can only see their own requests, files and orders. Staff access is limited by role and approved by the owner, and staff accounts are removed when someone leaves.
- Private files. Uploaded files (such as ECU read files) and service photos are kept in private storage and are only shared through links that expire within minutes.
- Payments. Card payments are processed by Stripe, a PCI-DSS certified payment processor. Card numbers are entered on Stripe's page and never reach our systems.
- Passwords. Passwords are never stored in readable form; they are handled by our login provider using one-way hashing.
Cookies and tracking
We only use what the site needs to work: keeping you signed in and remembering your cart. We don't use advertising trackers and don't sell or rent your information to anyone.
How long we keep it
We keep account, vehicle service and invoice records for as long as you're a customer and for as long as tax and accounting rules require (generally up to 7 years for invoices and payment records). Uploaded files and photos are kept with the related job or service record. When information is no longer needed, we delete it.
If something goes wrong
If we learn that your personal information was accessed without permission, we will notify you without unreasonable delay and notify authorities where required, in line with Ohio law (Ohio Revised Code 1349.19) and any other laws that apply.
Your choices and rights
You can view and update your profile in your account at any time. You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. We'll take care of it, except for records we're required to keep for taxes or accounting.
Children
Our services are for businesses and adults. We don't knowingly collect information from children under 13.
Changes to this policy
If we change this policy, we'll update the date at the top of this page.
